Privacy Policy

This notice explains the information involved when sellers, customers and administrators use EkomX, why it is needed, and how to contact us about it.

EkomX is a platform of Pips Capitals PVT LTD.

Draft for policy and legal review. This detailed operational guidance is not the final approved legal text. Please contact EkomX for the policy applicable to your account or order.

Scope of this notice

Pips Capitals PVT LTD operates EkomX. This notice covers the EkomX platform, seller workspace, administrator tools, EkomX-hosted storefronts and the related order, payment, shipping and support workflows. A seller may also publish information specific to its storefront and products.

EkomX and an individual seller can have different responsibilities for customer information. For example, a seller uses order details to fulfil a purchase, while EkomX operates shared checkout, account and shipping services. Contact us if you are unsure which party should handle a request.

Information you provide

Registration and account information can include a name, business name, email address, mobile number, password credentials and storefront details. Seller onboarding may also require identity, tax, address and bank documents for KYC, account approval and payouts.

Order and support information can include products, quantities, prices, delivery and billing details, messages, uploaded evidence and references used to investigate a request. Do not send passwords, one-time codes or complete payment-card details to support.

Information created through use

EkomX records account events, security checks, order and shipment status, wallet and settlement entries, selected courier services and support history so that the platform can perform and explain requested actions.

Technical records may include IP address, device and browser information, timestamps, session and security-cookie identifiers, error references and basic usage events. These records support authentication, abuse prevention, troubleshooting and service reliability.

How information is used

Information is used to create and secure accounts, verify sellers, operate storefronts, process orders, provide platform-managed payment options, calculate and book shipping, communicate status, provide support and maintain transaction records.

It may also be used to prevent fraud and misuse, enforce account controls, investigate incidents, comply with applicable obligations, improve reliability and provide optional communications where the required choice or permission has been obtained.

Sharing needed to provide services

Relevant information may be shared with the seller responsible for an order and with service providers that support payment, identity verification, messaging, hosting, analytics, support or delivery. Only the information needed for the relevant task should be made available.

For shipping, parcel and contact details may be sent through Shiprocket and the selected courier. Payment providers receive the details required to process or reconcile a transaction. These providers operate under their own legal and operational requirements.

Cookies and account security

EkomX uses cookies and similar browser storage for sessions, security, preferences and essential functionality. Seller and administrator sessions are kept separate. Disabling essential cookies may prevent sign-in, checkout or protected account actions from working.

Security measures include access controls, verification and activity records, but no system can promise absolute security. Use a unique password, protect OTP and MFA credentials, sign out of shared devices and notify EkomX promptly about suspected unauthorized access.

Retention and deletion

Information is retained for as long as needed for the purpose for which it was collected, including active accounts, order fulfilment, settlements, dispute handling, security, backups and applicable record-keeping requirements. Different records can have different retention periods.

When information is no longer required, it should be deleted or de-identified using the applicable operational process. A deletion request may not remove records that must still be kept for an unresolved order, fraud review, legal claim or required transaction record.

Your choices and requests

Depending on the account and applicable law, you may ask to access or correct account information, withdraw an optional consent, stop non-essential communications, or raise a concern about how personal data is handled. Some information can be updated directly in the account profile.

Submit a request through Contact EkomX using the registered email and enough information to identify the account or order. EkomX may verify identity before acting and will explain if a requested change cannot be completed or must be directed to the relevant seller.

Updates and contact

A final published privacy notice should display its effective date and identify material changes. An update should not be treated as reducing rights that applied to information before the update where the law does not allow that result.

For a privacy question or request, use the Contact EkomX link below or email [email protected]. This detailed operational draft requires legal review before publication as the final privacy notice.
